An order for “virus-free plantlets” does not fully describe the material to be delivered. In vitro plants in culture vessels, acclimatized plants and minitubers have different delivery forms and receiving requirements. Specify the form during quotation and order confirmation.

These are purchasing categories, not a statement that every form, variety or size is available from stock. Confirm availability, quantity and timing with the team. Minituber size alone also does not establish a particular certification class in a national seed system.
Link health claims to the relevant evidence
Uniform appearance and healthy-looking growth are different from documented health testing. Ask what material was tested, when, by which method and for which pathogens. Establish whether the report relates to mother material, a multiplication stage or the delivered batch. A test on mother material should not be described as individual testing of every delivered plant.
Do not interpret “virus-free” as an absolute guarantee against every pathogen or future infection. Agree the health requirements, supporting evidence and acceptance procedure for the actual propagation project.
Record the delivery before investigating discrepancies
Follow the agreed receiving procedure and record arrival time, transport information, outer packaging, labels, quantities and condition. Keep clear photographs and lot references. For in vitro plants, check vessel integrity and visible abnormalities. For acclimatized plants, document plant and growing-medium condition. For minitubers, check grading and appearance.
Record damage, mixed identities, quantity differences or condition concerns and contact the supplier through the agreed process. Preserve evidence before mixing lots. Visual inspection does not replace agreed health testing.

Include receiving capability in the purchasing plan
Before shipment, the receiving team should confirm facilities, personnel and follow-on management, and obtain instructions appropriate to the actual material. For cross-border projects, verify destination access and document requirements for that material. The ability to dispatch a shipment does not establish permission to import it.
